{"id":69,"date":"2024-05-15T17:16:17","date_gmt":"2024-05-15T16:16:17","guid":{"rendered":"https:\/\/www.communitypharmacy.scot.nhs.uk\/nhs-lothian\/nhs-borders\/nhs-email-accounts-outlook-365\/"},"modified":"2026-04-07T15:00:24","modified_gmt":"2026-04-07T14:00:24","slug":"nhs-email-accounts-outlook-365","status":"publish","type":"page","link":"https:\/\/www.communitypharmacy.scot.nhs.uk\/nhs-lothian\/pages\/nhs-email-accounts-outlook-365\/","title":{"rendered":"NHS Email Accounts (Outlook 365)"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\">NHS Mail (Outlook) Accounts&nbsp;<\/h2>\n\n\n\n<p>When accessing a pharmacy shared mailbox for the first time, you need to type in the full NHS Mail address to help Outlook find it!<\/p>\n\n\n\n<p>Email via community pharmacy shared mailboxes is now the primary method of communication between NHS Lothian and community pharmacies.&nbsp;It is important that&nbsp;<strong>ALL<\/strong> pharmacy staff have their own NHS Mail Outlook accounts linked to the shared mailbox and staff check this mailbox at least three times a day throughout the week. Emails will include <\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Urgent Drug Alerts and Recalls<\/li>\n\n\n\n<li>Scottish Government Circulars<\/li>\n\n\n\n<li>Discharge Letters<\/li>\n\n\n\n<li>NHS Lothian Contracts<\/li>\n\n\n\n<li>Prescription Cascades (lost\/stolen\/missing prescriptions)<\/li>\n<\/ul>\n\n\n\n<p>If you have recently received login details for your new NHS Mail Outlook account ending in nhs.scot, you should log in (ideally using the Edge or Chrome browsers) at <a href=\"https:\/\/outlook.office.com\/mail\">https:\/\/outlook.office.com\/mail<\/a><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Fresh Service  Portal<\/h2>\n\n\n\n<p>All requests regarding Outlook accounts should now be self-logged by users in community pharmacies using the NHS\u2019s IT portal Fresh Service which is accessible from all community pharmacy computers( if not accessible you may need to ask your own IT dept to allow it) .\u00a0Another user in branch with an NHS email address can request an NHS mail account on your behalf if needed. \u00a0Requests which can be logged on Fresh Service include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>New NHS Mail Outlook accounts for new staff<\/li>\n\n\n\n<li>Reactivation\/unlocking of existing accounts<\/li>\n\n\n\n<li>Deletion of accounts for staff leavers<\/li>\n\n\n\n<li>Password resets<\/li>\n\n\n\n<li>Linking\/unlinking from a pharmacy\u2019s shared mailbox<\/li>\n\n\n\n<li>Updating the user\u2019s details such as name, job title, location and contact telephone number<\/li>\n<\/ul>\n\n\n\n<p>The benefits to community pharmacy users of using Fresh Service include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Each request is given a unique call reference number for easier tracking and progress by Directory Services and users<\/li>\n\n\n\n<li>Users who log requests will be emailed regular updates on the progress of their requests<\/li>\n<\/ul>\n\n\n\n<p>You can log in (at the login page, please  use an NHS email account as a username- you may need to click login with SSO ) to Fresh Service at:<\/p>\n\n\n\n<p><a href=\"https:\/\/nhslothian.freshservice.com\/support\/home\">Fresh Service <\/a><\/p>\n\n\n\n<p>The Fresh Service portal should be self-explanatory but there are instructions here: <a href=\"https:\/\/wgh-supportserv.luht.scot.nhs.uk\/FreshserviceGuide\/freshservice-ticket-guide.html\">Support Ticket Guide<\/a>. If you have any problems accessing the new portal please ensure your own IT department has allowed you to access the new site. Any other issues should be discussed with IT on 0131 536 5050.\u00a0<\/p>\n\n\n\n<p>If you are a locum or have any problems logging into Fresh Service to log a request, please email completed forms to loth.cpdt@nhs.scot to submit on your behalf.\u00a0Please note Fresh Service replaces the previous process of using email or Service Now. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Multifactor Authentication (MFA)<\/h2>\n\n\n\n<p>When logging into Outlook at the beginning, you may be prompted by the screen to set up authentication method.\u00a0 Multi Factor Authentication app can be problematic and stop working suddenly via the Authenticator App \u2013 it\u2019s best to choose to verify using a 6 digit code texted to your personal mobile instead.
