NHS Email Accounts (Outlook 365)

NHS mail accounts are hosted on Outlook 365 and end in ‘nhs.scot’.  Staff working in community pharmacy have individual NHS email accounts for the purpose of communicating and collaborating with NHS Scotland, and to ensure continued access throughout the working week to the pharmacy clinical shared mailbox. Emails can be accessed by logging in at https://outlook.office.com/mail/

All staff must:

The process for managing and requesting O365 email accounts is detailed here: Contractor O365 email and ECS Account Request Form. The Access Request Form MUST be completed when:

  • Requesting a new email account
  • A member of staff already has an account, but is transferring from another site
  • A member of staff leaves your site, either moving to another site or leaving altogether, it is important that you notify of any staff leaving to ensure they are removed from any clinical mailboxes
  • Adding additional users to your clinical mailbox

Logging into NHS Email on Outlook – Tips

  • It is recommended you use either Microsoft Edge or Google Chrome as your internet browser when logging into Outlook.
  • When you log into your new NHS email account for the first time, you will be prompted to set up Multi Factor Authentication (MFA)to enhance the security of your email account. It is recommended that you download the Authenticator App or select the option of getting a 6 digit code texted to your mobile phone.  
  • If you are able to access both your personal and pharmacy shared mailbox, but have other technical issues, please phone the Digital Services Helpdesk on 01292 513355 (Service Desk)

Password – Tips

  • If you forget your password but your account is otherwise working fine with MFA authentication, you should be able to click on ‘forgot my password’ on the Outlook login screen, and you will be sent a code to your mobile phone.  This should allow you to choose a new password on the computer and continue logging in.
